It is good to convert some of the funds to stable coin(USDT) to avoid depletion of project funds due to cryptocurrency volatility. This will ensure an optimum use of resources for the success of the project. Below are some pictures of cardano events I have attended across Ghana.

COST BREAKDOWN FOR MILESTONE 1
Pay for the cost of two (2) hours interview = 1 hour=2,500ADA
2 hours = 2x2500ADA

Incentives = 300.00ADA
Prepare flyers, banners, snacks, print t-shirts for team and presenter = 4 + 1 = 5x700
= 3,500.00ADA
Cost of transportation = 500.00ADA
Contingency = 453.75
TOTAL AMOUNT = 5,000 + 300 + 3,500 + 500 + 453.75= 9,753.75ADA
COST BREAKDOWN FOR MILESTONE 2
Pay for the cost of two (2) hours interview = 1 hour=2800ADA
2 hours = 2x2800ADA
= 5,600.00ADA
Incentives = 300.00ADA
Prepare flyers, banners, snacks, print t-shirts for team and presenter = 4 + 1 = 5x700
= 3,500.00ADA
Cost of transportation = 600.00ADA
Contingency = 453.75
TOTAL AMOUNT = 5,600 + 300 + 3,500 + 600 + 453.75= 10,453.75ADA
COST BREAKDOWN FOR MILESTONE 3
Pay for the cost of two (2) hours interview = 1 hour=1900.00ADA
2 hours = 2x1900.00ADA
=3,800.00ADA
Incentives = 300.00ADA

TOTAL AMOUNT = 3,800 + 300 + 3,500 + 500 + 453.75 = 8,553.75ADA
COST BREAKDOWN FOR MILESTONE 4
Pay for the cost of two (2) hours interview = 1 hour=2300.00ADA

= 4,600.00ADA
Incentives = 300.00ADA
Prepare flyers, banners, snacks, print t-shirts for team and presenter = 4 + 1 = 5x700

Cost of transportation = 500.00ADA
Contingency = 453.75ADA
TOTAL AMOUNT = 4,600 + 300 + 3,500 + 500 +453.75 = 9,353.75ADA
Contingency of 5% = 5/100
= 1,815 ADA
1815/4 = 453.75ADA
Therefore, 453.75ADA is added to each of the four (4) milestones.
TOTAL BUDGET FOR PROJECT INCLUDING CONTINGENCY = 9753.75 + 10453.75 + 8553.75 + 9353.75
= 38,115.00ADA
The reason for adding the contingency is to cover up unforeseen costs.
There cannot be a project without resources. The cost items indicated in the aforementioned budget represent the cost for the entire project period, and I will highlight on key items below;
The budget is stated in ADA and not in USD and hence leaves uncertainties for everyone in the community as the fall in the price of ADA could affect funding and vice versa. Hence, it is prudent to leverage Cardano's DJED or Tether's USDT or other stable coins to preserve funds and prevent the depletion of project funds. Again, local expenses are incurred in local fiat (Ghanaian Cedis), which are affected by inflation and hence, there is the need to be economically sound in purchases to ensure expenses are covered without any difficulties. It is important to also have a convenient savings account to keep exchange withdrawals for covering project expenses.
I am sure and strongly believe that, the budget will see an optimum use to serve the purpose of the project to achieve the its purpose and deliver successfully without any shortages or loss of funds.
